Introduction
The Community Development Business Team is responsible for the main administrative functions within the department also assisting in maintaining the well-being and growth of local communities.
Main purposes
- To provide effective and efficient general adminstrative and operational support for the six teams within Community Development and Outdoor Leisure Service.
- To have responsiblity for the adminstration of the Concessionary Travel Scheme for over 60's and people with a disability.
- To provide secretarial and administrational service, to the Head of Community Development and Outdoor Leisure and the management team.
Duties / Objectives
- Managing the administration of the Concessionary Travel Scheme - including in putting computer data, communicating with applicants both face to face and on the telephone, maintaining the bus permit database and completing all relevant and monitoring forms
- Undertaking research, consultation and development of special projects
- Implementing and managing office procedures
- Budget and timesheet monitoring
- Process Order requests and invoices to companies who provide services to Community Development and Outdoor Leisure
- Provide general office adminstrative assistance, including typing, research, filing, collating consultation, assisting with meetings and events, raising stationery orders and opening the post
- Correspondence monitoring for the six teams within the Community Development and Outdoor Leisure service, to log on the relevant spreadsheet, and monitor to ensure a timely response has been sent by the team concerned
- Manage and update Community Development & Outdoor Leisure Internet and Intranet web sites
- To receive and filter telephone calls
- Welcome and deal with visitors
- Arrange appointments, meetings and room bookings
- Process petty cash for the department
- Co-ordinate training for the department
- Co-ordination of articles and the production of publicity material celebrating work and achievements of teams within the Community Development & Outdoor Leisure service.
- Collate bulletins, training and funding opportunities and other information to produce and circulate the monthly electronic newsletter sent to the voluntary sector and other contacts and partners
- To assist with consultation and the facilitation of meetings and events
